Terms and Conditions

These Terms and Conditions (“Terms”) govern the use of the online photography education and awards platform (the “Service”) provided by The Institute of Wedding Photographers (“we,” “us,” or “our”) to the subscriber (“you” or “your”). By subscribing to our Service, you agree to abide by these Terms. Please read them carefully.

1 - Memberships and Subscriptions

1.1 Subscription Options:

We offer two subscription plans:

 • Monthly Subscription: Billed monthly.

 • Annual Subscription: Billed annually at a discounted rate.

1.2 Payment: 

 • Payment is due in advance for the chosen subscription period (monthly or annually).

 • By subscribing, you authorise us to charge your credit card or other payment methods on a recurring basis until you cancel.

 • All fees are non-refundable, except as required by law.

1.3 Additional Terms – Monthly Payment Plans

  • Payment Plan Structure

    Clients may choose to pay for training or workshop bookings through an approved monthly payment plan (e.g. 2-month or 3-month instalments). The full balance must be received no later than the agreed date, and always before the start of the training or workshop.

  • Client Cancellations

    Once a monthly payment plan has been agreed upon and activated, all payments made are non-refundable.

    • If the client cancels their booking at any point after the payment plan has started, no refund will be issued.

    • This includes circumstances where the client cannot attend the training, workshop, or event for any reason.

    • However, at our sole discretion, we may allow the client to transfer their booking to a future training date or event, subject to availability.

  • Cancellations by the Company

    In the unlikely event that we cancel or postpone the training, workshop, or event, clients will be offered:

    • A full refund of all payments made, or

    • The option to transfer to an alternative date without additional charge.

  • Payment Default

    Failure to complete all instalments by the due dates may result in your booking being cancelled without refund. Access to any part of the training or workshop will not be permitted until all payments have been received in full.

  • Governing Law

    These terms are governed by and construed in accordance with the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

1.4 Free Trial:

If offered, free trials are available only to new users. At the end of the trial period, your subscription will automatically convert to a paid subscription unless you cancel prior to the end of the trial.

2 - Cancellations and Renewals

2.1 Automatic Renewal: 

 • Your subscription will automatically renew at the end of each subscription period (monthly or annually), and the payment method on file will be charged unless you cancel your subscription before the renewal date.

2.2 Cancellation: 

 • You may cancel your subscription at any time by accessing your account settings.

 • If you cancel, you will continue to have access to the Service until the end of your current subscription period.

 • Cancellations will not result in a refund or prorated refund for any unused portion of your subscription.

3 - Changes to Fees and Services

3.1 Fee Changes: 

 • We reserve the right to modify our subscription fees at any time. If the fees change, you will be notified in advance, and the new fees will apply to the next subscription period. If you do not agree to the fee change, you must cancel your subscription before the next billing cycle.

3.2 Service Changes: 

 • We reserve the right to modify or discontinue the Service, temporarily or permanently, without notice. However, if we discontinue the Service, you will be refunded for any prepaid but unused subscription period.

4 - Account Responsibilities

4.1 Account Information: 

 • You are responsible for maintaining the confidentiality of your account login information.

 • You are responsible for all activities that occur under your account.

4.2 Prohibited Activities: 

 • You may not share your login credentials with others.

 • You may not resell, distribute, or sublicense access to the Service.

4.3 Termination of Account: 

 • We may suspend or terminate your account if we determine that you have violated these Terms or if your payment fails. No refunds will be issued in cases of suspension or termination due to violation of the Terms.

5 - Content and Intellectual Property

5.1 Ownership:

All materials provided through the Service, including but not limited to videos, images, tutorials, and other educational content, are the property of The Institute of Wedding Photographers or its licensors and are protected by copyright laws.

5.2 Licence: 

 • As a subscriber, you are granted a limited, non-transferable, non-exclusive licence to access and view the content for personal and non-commercial use only.

 • You may not copy, distribute, modify, or create derivative works based on any content provided through the Service.

5.3 User-Generated Content:

Any content you upload or submit to the Service (such as comments, photos, or project submissions) remains your property. However, by submitting content, you grant us a non-exclusive, worldwide, royalty-free licence to use, display, and modify such content for purposes related to the Service.

6 - Disclaimers and Limitations of Liability
6.1 No Guarantees:

The Service is provided on an “as-is” and “as-available” basis. We make no warranties or guarantees regarding the accuracy, completeness, or quality of the content.

6.2 Limitation of Liability:
To the fullest extent permitted by law, we shall not be liable for any direct, indirect, incidental, consequential, or punitive damages arising out of your use of the Service.

6.3 Indemnification:

You agree to indemnify and hold harmless The Institute of Wedding Photographers, its employees, and affiliates from any claims, damages, or expenses arising out of your use of the Service or violation of these Terms.

7 - Privacy

7.1 Data Collection:

We collect personal information in accordance with our Privacy Policy, which outlines how we use and protect your data. By using the Service, you consent to the collection and use of your data as outlined in the Privacy Policy.

8 - Governing Law and Dispute Resolution

8.1 Governing Law:

These Terms are governed by the laws of the United Kingdom. Any legal action or proceeding related to the Service shall be brought in a court located in the United Kingdom.

9 - Amendments to the Terms

9.1 Modifications:

We may modify these Terms from time to time. If we make material changes, we will notify you by email or through the Service. Your continued use of the Service after the changes become effective constitutes your acceptance of the new Terms.

Terms & Conditions for In-Person Workshops & Training Events

Institute of Wedding Photographers (IOWP)

These Terms and Conditions (“Terms”) apply to all in-person workshops, portfolio builder days, photography training sessions, and multi-day courses (“Workshops”) provided by the Institute of Wedding Photographers (IOWP) and its associated brands, including One Vision Photography & Videography (“we,” “us,” or “our”).

By booking a Workshop, you (“you” or “the participant”) agree to these Terms.

1. Booking & Payments

1.1 Booking Confirmation

Just to let you know, your place is only confirmed once full payment (or an agreed payment plan) has been received.

1.2 Payment Methods

We accept payment via:

  • Credit or debit card

  • Bank transfer

  • Approved instalment plan options (if offered)

1.3 Instalment Plans

Where instalments are offered:

  • The full balance must be paid no later than 30 days before the workshop date.

  • If payments are missed, your place may be cancelled without a refund.

  • Instalment fees are non-refundable under UK law for dated events.

1.4 Pricing

Prices are shown inclusive of VAT (if applicable). We reserve the right to update prices at any time, but the price at the time of booking will always apply.

2. Cancellations, Refunds & Transfers

2.1 Your Right to Cancel

Under the Consumer Contracts Regulations, the 14-day cooling-off period does not apply to training events held on a fixed/defined date.

Therefore:

All bookings are non-refundable.

If you choose not to attend, no refund will be given.

This is fully compliant with UK law for dated workshops and events.

2.2 Transferring Your Place

Just so you know, transfers may be allowed at our discretion, but are not guaranteed.

We may allow:

  • Transfer to another person

  • Transfer to a future workshop

A £25 admin fee may apply.

2.3 If We Cancel or Reschedule

If we must cancel or postpone a Workshop due to unforeseen circumstances (illness, venue issues, extreme weather, etc.):

  • You will receive a full refund, or

  • You may transfer to a new date at no extra cost

We are not responsible for travel, hotel, childcare, or other expenses.

2.4 Minimum Attendance

If a Workshop does not meet the minimum number of bookings, we may cancel it. You will be offered a full refund or transfer.

3. Workshop Content & Delivery

3.1 Changes to Content

We may adjust the Workshop schedule, speakers, models, or activities to ensure the best experience.

3.2 Photography Use

You may use any photos taken during portfolio workshops for:

  • Your portfolio

  • Website

  • Social media

  • Marketing your photography services

You'll need to credit models where required and respect image usage guidelines explained on the day.

3.3 No Teaching or Commercial Use

Your images cannot be:

  • Sold as stock images

  • Used to create online courses

  • Used in your own workshops

  • Used for training or educational purposes

I will not do so without written permission.

4. Behaviour & Safety

4.1 Professional Conduct

We expect all participants to behave respectfully towards:

  • Other attendees

  • Models

  • Staff

  • The venue

We reserve the right to remove anyone misbehaving, with no refund given.

4.2 Health & Safety

All participants must follow health and safety instructions.

You'll need to attend at your own risk and are responsible for your own equipment.

5. Equipment & Personal Belongings

5.1 Your Equipment

You are responsible for bringing suitable equipment, such as:

  • Camera body/bodies

  • Lenses

  • Batteries

  • Memory cards

  • Flash/lighting gear (if required)

5.2 Liability for Damage or Loss

We do not accept responsibility for:

  • Loss, damage, or theft of your equipment

  • Damage to personal belongings

  • Injury resulting from the misuse of equipment

Please hold the appropriate insurance.

6. Photography Models, Locations & Permissions

6.1 Model Release

A model release will be provided on the day (where required).

You may photograph the models only during supervised shooting times.

6.2 Location Restrictions

Some locations may have restrictions or areas where photography is not allowed. All instructions must be followed.

7. Intellectual Property

7.1 Our Materials

All teaching materials, slides, documents, videos, and course notes are owned by IOWP and may not be copied, shared, or redistributed.

7.2 Recording

You may not record:

  • Training sessions

  • Talks

  • Behind-the-scenes videos

  • Audio recordings

Please let me know if you have written permission.

8. Liability

To the fullest extent permitted by UK law:

  • We are not liable for personal injury unless caused by our negligence.

  • We are not liable for loss of income, bookings, or business opportunities as a result of attending or not attending the Workshop.

  • We are not responsible for travel or accommodation costs if you or we cancel.

9. Force Majeure

We are not responsible for cancellations or disruptions caused by events beyond our control, including:

  • Severe weather

  • Strikes

  • Illness

  • National emergencies

  • Venue issues

  • Transport disruption

  • Pandemics

In such cases, we will be able to offer a rescheduled date.

10. Complaints Procedure

If you are unhappy with any part of your Workshop experience, don't hesitate to get in touch with us within 7 days:

11. Governing Law

The laws of England and Wales govern these Terms.

Any disputes will be handled exclusively by the UK courts.
